INFORMATION & DATA

  • It is important to understand the fundamentals of DATABASY.
  • While it is incredibly easy to grasp and even easier to manage once setup, it is important to take a few minutes to study the fundamentals of how data is managed.
  • Understanding the basics will help to ensure you get the most out of the systems benefits.

There are 5 core fundamentals in DATABASY CRM

#1: Settings
If you can manage a smart phone you are probably over qualified and are likely to skim through the majority of the setup process within 60 mins.  For the case you need assistance with some common complexities, like a cPanel connection, a mobile app connection or advice on structuring your CRM for your own business type, paid users can contact support via live chat (See the contact page on this website for open hours and contact options).

#2: Home page
This is where you can find and sort all your data. Your homepage does A LOT. Imagine an email inbox on steroids. Play around with the filter tabs while you’re in demo account mode, and you will work it out very quickly. Note: You can stack your favourite searches, in the sidebar on the left of the home screen. This removes any “noise” moving forward as you operate day to day. You can set it up how you like to find important data sets you need, quickly.

#3: Pages
Once you click into an option on the home page, we call this a “page”. When you open a “page”, all the tools are there for managing that client or project, or whatever it is.

#4: Data tab
In every page, one of the functions available, is the “Data Tab”. Data tabs are custom designed forms/templates that you create in settings. It might be a contact form with name, email, phone and address… another data tab template might be a form process for onboarding a client or starting a new job for a client, or onboarding a new team member, or literally whatever you need. You just design one data tab template for each procedure in your workflow. And so when you go to Home > Page > Data Tab, you can add data points in the data tab for that page. Likewise, when you CREATE a “Page” you can choose which data tab template the page you wish to create requires; so if you want to create a new “Booking”, you will simply click the CREATE button in the top of the CRM, and then select the “Booking” data template that you setup in settings.

#5: Levels – DATABASY uses 5 different levels of data. Whenever you create a page you’ll be asked to assign a level.

#5.1 Account Pages
Top level. These are generally used for inputting the core contact details.

#5.2 Project Pages
Projects nestle under Accounts typically but don’t have to; they can stand alone if you like. When you create a Project page you will have the option of stacking it under an existing Account.

#5.3 Sprint Pages
Sprints nestle under Projects typically but don’t have to. If you create a Sprint page you will have the option of stacking it under an existing Account or Project.

#5.4 General Pages
General are stand alone or they can be stacked under any other existing pages. If you create a General page you will have the option of stacking it under an existing Account, Project or Sprint.

#5.5 Contact Pages
Contacts are stand alone or they can be stacked under any other existing pages. If you create a Contact page you will have the option of stacking it under an existing Account, Project, Sprint or General page.
